Copy and Paste Text
Discussion
When editing a document, you may want to copy text, either within the same document or between documents. (You may also use this feature to copy text from Word into your e-mail message or WebCT discussion board posting.) Note: This feature will work in any Windows program.
When you move (cut) text, the text is removed from its original location and placed into a new location. The Cut and Paste features make it easy to move text.
If you want to duplicate (copy) text in another location, you can copy the text rather than retype it. To duplicate text, you can use the Copy and Paste features. The Copy feature is similar to the Cut feature, except that the Copy feature does not remove the text from the document.
When moving, or copying text using the Cut, Copy and Paste features, Word automatically adds or removes spaces as needed, provided that the Use smart cut and paste option has been enabled on the Edit page in the Options dialog box.
Cut or copied text is placed on the Office Clipboard, where it is saved until you choose to paste it to a new location. The Clipboard in Word 2000 and XP can hold more than one item. Therefore, the Paste feature does not remove the text from the Clipboard and you can continue to paste the same item again and again. Earlier versions of Word could only hold one item at a time so you have to remember to Paste it immediately.
The Clipboard toolbar in Word 2000 and XP automatically appears as soon as two items are cut or copied in a row. An icon appears on the toolbar for each cut or copied item. (In earlier versions of Word you will not see this toolbar. Only the last item copied will be held in the Clipboard.)
Procedures to Copy/Paste text
- Select the "Text:moving with Cut and Paste text" you want to move by dragging over it with the mouse.
- Click the Copy
button
on
the
Standard
toolbar. - Position the cursor in the location where you want to paste the text by clicking the location.
- Click the Paste
button
on
the
Standard
toolbar.
You can also move and copy text by selecting the Edit menu and then selecting the Cut, Copy, and Paste commands as appropriate.
You can select the Edit menu and then select the Paste Special command to paste information copied from another application. The Paste Special dialog box contains options to select a format and create a link between the copied data and the original source file.
Do not use the [Backspace]
key or the [Delete] key to move text because these keys do
not place text on the Clipboard.
