Converting PowerPoint to HTML Format
To convert a PowerPoint presentation to HTML follow these steps:
For the PC:
When you convert a PowerPoint presentation to html, the program saves each slide as a separate graphic. This means that you will have many individual files created during the conversion. With this in mind, you should always create a new folder to store these files in before starting the conversion.
To create a new folder:
- From the desktop or My Computer, double-click on the My Documents folder to open
- Click on File - New - Folder and type in a meaningful name. (Note: Keep this name very short with no spaces.)
Once your folder is ready for your new files, it is time to convert your presentation:
- Open PowerPoint
- Open the file you want to convert (File - Open)
- When the file is open, select File - Save as Web Page
- Next to Save In: at the top of the page, browse to the new folder you just saved
- At the bottom of the window, type in a short, meaningful filename with no spaces as the filename
- Click on the Publish... button
When saving as a web page, the default settings the program uses are not compatible with WebCT. You must make a couple of changes to generate a single *.html file which will refer to the entire presentation (the group of files that PowerPoint creates) that will be supported by WebCT. To do this:
- If you have speaker notes on your slides that you don't want to
show to your students, uncheck the box that says Display speaker
notes.
- From the Browser Support options switch to "Microsoft
Internet Explorer or Netscape Navigator 3.0 or later".
- Next, click on the Web Options button in the same dialogue
box. Select the Files tab and uncheck the "Organize
supporting files in a folder" option.
- Choose OK then click on Publish. A set of files will be created with one main index file (.html). There will be one *.xml file created, but it doesn't cause any problems.
Your converted files should now be in the folder you created. It is now time to upload your files into WebCT:
- Windows 2000 & 2002 (XP) users: Upload with the Drag-and-Drop (WEBDAV) option
- Windows 95 & 98 users: Upload each file individually into your WebCT course as you would any file OR zip all files in the folder, upload the zip file into your Manage Files area and then unzip the files into the same directory.
For the Mac:
With the PowerPoint presentation open in PowerPoint, from the File menu select:
- Save as HTML. This will prompt the "Save as HTML" Wizard.
- Choose: "Standard" --> Next
- Choose graphic type: *.jpg if the presentation is large and complex with many colors, *.gif if it is more simple --> Next
- Choose monitor resolution: this doesn't really matter --> Next
- Page info options: uncheck "download original presentation" --> Next
- Choose colors --> Next
- Choose button style --> Next
- Choose layout --> Next
- Select destination folder
Ensure that the folder name has no spaces in it or when you upload it to WebCT it will not be compatible. Use a Zip program (eg. MacZip) to compress the folder.
You can now upload the Zip file using Manage Files in WebCT.
Note: Filenames in PowerPoint
PowerPoint tends to save the files in the presentation group with the same name as the TITLE of the presentation which you have entered on the cover page. For example, if the title at the top of the first page is My Presentation, the files would look like: My Presentation.html
A space in a file name is an illegal character for WebCT, and for this
reason, it will not accept any of the presentation files called My Presentation.html
(etc.). Thus, you must give your presentation a title with no spaces. You
can always edit the *.html file for the first slide of the presentation
(e.g. MyPresentation_slide0001.htm) in Manage Files to change the title.
