What is Source Control?

Source control (a.k.a. check-in/check-out) is a feature of FrontPage 2003, that prevents conflicts with documents that several people have access to. With source control being active, only one user can check-out a file at a time. Once the file is checked-out, it is marked, and only that user can access that file to modify it.   When a developer finishes modifying a file, it is important that the file is checked-in to allow other developers to make changes to it or for the web manager to be able to publish it.

How to check-out a File

With Source control applied to the site in which you are working, you must check-out any file on the site to modify it.

*Please Note: If a file is already checked out by another user, you cannot check it out. You can open a copy of the latest saved version of the file in order to view it but, you cannot modify it.

Step 1

Right-click on the file you want to open.

Then click on check-out in the submenu.

Click on Yes, when prompted to check-out the file.

Double click on the file, and it will open in the software program it is attached to (i.e. a Word document will open in MS Word)

In the Folder List, the file icon will change, and a checkmark will appear to the left of it.

*NOTE: Until the file is checked back in, the file it checked-out. Even if the file and program have been closed, the file remains checked-out.

How to check-in a File

Once you have finished modifying a file, you must check it in. By doing so, you will enable other users to access the file and save changes to the file.

*NOTE: You must check-in the file for all of your changes to remain saved. If you Undo check-out, any changes you had made to the file, saved or unsaved, will be discarded.

Save your changes to the file.

In this example, Right-click on the file's tab, and then select Save.

Once the changes have been saved, close the file.

For this example, Right-click on the file's tab, and then select Close.

*NOTE: Closing the file will not Check it in.  You must continue to Step 3.

Right-click on the file you want to check-in.

Then click on check-in in the submenu.

The file is now checked-in for other users to check-out.

How to Undo the Checking Out of a file

Some times, you may accidentally open the wrong file in FrontPage. To fix this, you must close the file, and then Undo the check-out.

*NOTE: When you Undo check-out, any changes you had made to the file, saved or unsaved, will be discarded.

Before undoing the check-out, you must make sure the file is closed.

If the file is open, Right-click on the file's tab, and then select Close.

*NOTE: Closing the file will not Undo the check-out.  You must continue to Step 2.

Right-click on the file you want to Undo the check-out.

Then click on Undo check-out in the submenu.

Click on Yes, when prompted to return the file to the version you checked-out originally.

*NOTE: By accepting this, any changes you had made to the file, saved or unsaved, will be discarded.

What to do when a file is already checked-out

When working in a site with several users, you may find a file you need to open is already checked-out. The following explains how to know when a file is checked-out, and what can be done.

In this situation, the file is already checked-out by another user. Their are a couple of options you may do in this situation.

*NOTE: Both in the Folder List and the Web Site tab, a lock appears to the left of the file that is checked-out by someone else.

You can find out when the file was checked-out, and to whom.

By doing this, you can find out if the file has been checked-out recently to be modified or if the user may have forgotten to check it back in.

Steps to Checking the Status of the File

Step 1


Right-click on the file. Then click on Properties in the submenu.

Step 2

In the file's Properties window, click on the Summary tab.

Toward the bottom of the window you will see listed:
  • the date the file was checked-out
  • the person the file is checked-out to

*NOTE: If the file has been checked-out for more than a few days, you may want to contact the person to remind them to check it back in.

If you are unable to get in contact with this person, you can email webmanager@ccri.edu to have source control reset.  This will make all files checked-in on the site.

Option 2

If you want to view the locked page, you can open a copy of it in FrontPage.

Right-click on the file. Then click on Open in the submenu.

*NOTE: The file that you are viewing is a copy of the latest saved version.

You cannot save any changes since the original is check-out to someone else. If you try to save the file, the message in the bottom of this table will appear.
