How to Get Your Pages & Files Published

When you are finished editing your pages and files and are ready for them to be published to the live server, please send an e-mail to Jim Kirby following the instructions below.

Before you send the request to have your pages published, have you...

  • Applied XML formatting?  Tip 
  • Checked-in all files that need to be published?  Tip  (For more information about "Check-in/Check-out" see Using Source Control for Web Sites)
  • Reviewed the content by previewing your pages in one or more browsers (Internet Explorer* plus browser of choice, for example, FireFox)?
  • Checked all the links on all pages to be published?

* Most people still use Internet Explorer 7 to view web pages. Download here if you do not have this version.  WARNING: Do not download IE 8.

Instructions and Screenshots
Step 1

1a.  If you are requesting that an html-type file be published, preview the page in a web browser (ie: Internet Explorer, FireFox) and then copy the URL of your page from the address bar in your web browser so that you can paste it into an e-mail.

1b. PUBLISHING ASSOCIATED FILES

Please Note: Make sure you send all URL's associated with the page you’re publishing, IF the associated files are not already published or if they have been updated since last being published.

For example: Let’s say you update a page by adding a new photo and links to a new PDF and a new Word doc. In order to publish the revised page, you would need to send the URL of the web page, plus the URLs of the new image, PDF and Word doc. You would not need the URLs of any associated files, (images or documents), which were already published in an earlier publication of the web page because those files are already on the live server (unless they have been modified since they were last published).

1c. HOW TO GET THE URL OF A NON-HTML FILE (image, pdf, doc, xml, etc.)

  • Right-click on the file and select: “Properties

  • When the Properties dialog box opens, select the URL next to "Location:". Be sure to drag your cursor from the beginning all the way to the end of the URL, which is sometimes not entirely visible in the Properties box.

  • Right click on the selected URL, then select copy, and then click cancel to close the Properties dialog box.

Step 2

Create a new e-mail to be sent to: webservices@ccri.edu .

Make the subject line include the words: "please publish" see step 3 for example.

Paste the URL you copied in the above steps into the body of your e-mail message.

Repeat the above steps for each file you need published until all files you want published are listed in the e-mail, then send.

Step 4

Once your publishing request has been completed you will receive a confirmation e-mail from Jim (or Sara) stating that your pages have been published.

IMPORTANT: Always check the pages/files that were published in a browser ON THE LIVE SERVER before sending out the pages' address(es) in announcements or other communications. As part of your checking process, be sure to click on and test all links you added to the page as well. Just because they worked on test doesn't mean they will on the live site. If you forgot to request (or if we forgot to publish) any of the associated files, the live server is where you will see the problem.

(TIP: In order to quickly get to the live version of any page or file in your browser, you can preview the test site version of the page or file in a browser while logged into your site FrontPage on the test server (see step 1b.) then, change the "test" to "www" in the browser's address bar.  For example, change: "http://test.ccri.edu/..." to "http://www.ccri.edu/...".)
